PAYROLL SPECIALIST TEMPORARY

IMPACT & OPPORTUNITY

Process and audit weekly and semi-monthly payroll for U.S.-based employees. Maintain, update, and validate payroll data to ensure accurate payments and proper deductions. Support leave management, final reporting, secure archiving, and various end-of-cycle payroll tasks. Contribute to payroll-related projects and cross-functional initiatives while ensuring compliance and process excellence.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Key Responsibilities

  • Prepare and process payroll for over 500 U.S. employees across multiple states; ensure timesheet accuracy and apply garnishments and special deductions.

  • Partner with HR, Finance, and other departments to maintain accurate employee data and support payroll-related reports (e.g., workers’ compensation, unemployment claims, shadow payroll, vacation tracking, 401(k), and tax reporting).

  • Administer and maintain the electronic timekeeping system; onboard new employees, monitor submissions, and validate data transfers between timekeeping and financial systems.

  • Ensure payroll compliance with federal, state, and local regulations; stay current with legislation and regulatory changes.

  • Maintain the accuracy of employee master data and personnel records, ensuring timely and properly authorized updates in line with SOX controls.

  • Provide payroll process training to employees and new hires; create easy-to-understand documents and guides for users at all levels.

MINIMUM QUALIFICATIONS

  • Associate’s degree in Business Administration or related field and 1–3 years of payroll experience; or 2–4 years of equivalent position-related experience.

  • Knowledge of IRS reporting requirements and functional understanding of payroll and accounting processes.

  • Strong skills in time management, communication, decision-making, presentation, and organization.

  • Proficiency in Microsoft Office, especially Excel.
